- Can our business reload a pass on a card each month?

Yes. When placing an order, a business has the ability to reload either an individual or a group of business cardholders' cards with a pass for the next month. A business should order the pass product load at least 48 hours prior to the beginning of the new month.
- Can our business reload an E-voucher or E-purse on a card each month?

Yes. When placing an order, a business has the ability to purchase either E-voucher or E-purse for some, all or none of its business cardholders.
- Our business has multiple work locations. How can we manage our Business Account cards for each of these locations?

You may organize your multiple work locations by setting up different branches within your business account. From the left navigation bar, select Create/Maintain Card Branches. This step will allow you to set up a branch for every business location. In addition, you may further organize your cards by setting up groups under each branch. We suggest you organize your groups by what products you order each month to make the ordering process easier. Once you have created your branches and groups, you may assign cards to the branches and groups and move them between branches and groups as needed.
- Why would our business use card groups?

The Card Group function is best used to classify business cardholders with similar transportation benefits, as illustrated by the following example. Group A members all receive Kitsap Transit monthly bus pass. Group B members all receive Washington State Ferries monthly pass. Group C all receive a flat employer subsidy of $30 in the form of an e-voucher. Grouping cards by products streamlines the monthly ordering process.
- How can business cardholders manage their own cards?

Business cardholders may manage their ORCA cards on the ORCA cardholder website. They will be able to check what products are loaded on the card and the e-purse balance. In addition, they will be able to load additional products and/or e-purse value, plus check their transaction history. The business that purchases and distributes cards is the owner of those cards. Business cardholders need to report lost, damaged or stolen cards to the business that provided the card.
- How can our business import or export data between ORCA and our businesses own computer systems?

Export: Businesses will have the ability to export data files to their own computer system for various functions as follows: - Card Groups Card group information can be exported to assist in the future creation of new card groups containing many cards or the editing of existing card groups - Reports Any of the reports that are available to you may be exported into various formats, such as Microsoft Excel & PDF. Import: Businesses will have the ability to import data files to their own computer system for the following functions: - Product orders Product orders can be imported from previously created XML or CSV files. When the user creates a new product order, the user is given an option to import the order from a file. Once the user selects a file and clicks on Import, the system will validate the file to ensure that the file format is valid. To assist the user in ensuring the correct file format is used, an export function is available for existing product orders. - Card Groups Card group information can be uploaded to assist in the creation of new card groups containing many cards or the editing of existing card groups. To assist the user in ensuring the correct file format is used, an export function is available for existing groups. This allows the user to export an existing group and make changes to the export file before importing the file. Upon import, the file will be validated and, if valid, the changes saved. - Card Printing Templates Card printing templates are ID Works image files that are used for secondary card printing. Card printing templates are uploaded by your Lead Agency. Once the card printing template is uploaded, that template will be available for selection when ordering new cards. - Card Personalization Files Card personalization files are XML files containing details to be printed on specific cards. Personalization files must be uploaded each time a card order is placed.. They are only used for the current card order and are not stored for reuse (they must be uploaded again for subsequent orders). Personalization files may contain information such as, company logos, staff IDs, photos or departments. Personalization files must be used in conjunction with card printing templates. It is the responsibility of the Business Account to ensure that the data in the personalization file matches the display fields in the card printing template.
- Why would our business block a Business Account card?

The most common reasons a business would block a Business Account card are: a) the business no longer employs the individual or; b) the business cardholder has reported the card as lost or stolen.
- What should our business do when a cardholder leaves the company?

There are two options for managing cards when an individual is no longer eligible for a business card: a) A business could collect business cards from departing individuals b) A business could block the cards using the Business Account website. Blocking a card disables all products on the card, including the e-purse. The card is still identified as belonging to the business.
- What should a business do if a Business Account card is lost or stolen?

If you wish to purchase a replacement card, you may block the card as 'other'. Notify your business lead agent of the card number. They will assist you in obtaining a replacement pass. A $5 fee may apply. If you do not wish to obtain a replacement pass, you may block the card as 'lost/stolen', which will permanently disable the card and prevent future use. No replacement may be obtained when this selection is made.
- What happens if our business forgets to load a pass or voucher on our business cardholder's card? Can the cardholder still ride?

No. Every individual must have a properly loaded card to ride a transportation service or pay cash. Products can be added to cards as needed.
